Let’s Talk About It!

When the host sends out a formal invitation they would like to see you in attendance. They have curated a list of guest that will enhance the vibe of the event. On the RSVP is a deadline date that requires your response. Its of vital importance that the host receives your response by the deadline date indicated on the RSVP. The RSVP will include the following details.

  • The RSVP card will have a line to enter your name. (possibly space for your plus one)

  • Entree selection

  • Allergies

  • Corporate Events that require a cost to attend. In this case a link will be provided to register, select entree and pay for the number of guest that will be attending with you.

  • Space to indicate if you are unable to attend.

When securing a venue the host must consider these top 3 things.

  1. Aesthetic - Appearance, Look, Feel

  2. Number of guest the venue can accomodate comfortably.

  3. Catering and Beverages

As an Event Planner & Designer there are a number of things to condsider. However, for this post we will stick to these three items.

EVERY DETAIL of planning an event relates to cost! The beverages, food (appetizers & dinner entree), linens, napkins, chairs, dinner plates, tables, flatware, stemware, center-pieces, servers, venue staff, additional decor, entertainment, etc. The bulk of the planning is determine by all of the details above and more.

The caterer will give the host a deadline that they must receive the final guest count, entree selections, and seating arrangements. This final details will determine how the caterer will plan to order food for the event, the number of staff required to serve guest appropriately, supplies required, preparation time, etc.

A floorplan is design to scale according to the number of guest, tables, chairs (seating), lighting, sound, centerpieces, the overall aesthetic and guest experience.

The host will receive the final cost for food and beverage and overall detailed decor for the space. This final number will be required regardless if the total number if guest ATTEND or NO SHOW. There are NO REFUNDS given if the total number of guest do not attend.

INVITED GUEST IT’S YOUR RESPONSIBILITY TO………..

  • If you receive a formal invitation, complete the RSVP CARD and return by the required deadline date.

    • Indicate your plus one that will be attending

    • Select your entree

    • Indicate any allergies

    • Complete the space designated if you are not able to attend.

    • Return the RSVP to the host.

    • If you would like to invite additional guest to attend the event with you, contact the host to ask permission. Its not appropriate to write in additional names on the RSVP card with the expectation that those additonal guest will be accomodated and welcome to attend the event.

  • LIFE HAPPENS. If you are not able to attend and you returned the RSVP, inform the host that you will not be attending. The host can inform the caterer, venue, Event Planner & Designer of the space. They can make the proper adjustments for catering and table settings.

  • If you did not RSVP, its not appropriate to attend the event with the expectation to be seated, wine and dine. Please contact the host prior to the date of the event to receive permission to attend.

REMEMBER:

  1. Be respectful to the host and complete the RSVP.

  2. Be Considerate of the host and their expenses.

  3. Come with a positive energy and attitude to enjoy the experience.
